One system for two shops

A small retail business running two stores, with everything living in different spreadsheets and nobody able to see the whole picture.

The problem

Staff rosters were in one spreadsheet. Sales were in another. Stock counts happened in a group chat and got lost. If the owner wanted to know how either shop was actually doing, they had to sit down and add it up by hand — usually on a Sunday.

What made it messy

It was not that any one part was broken. Each spreadsheet worked fine on its own. The problem was that nothing talked to anything else, so the same information got typed in twice and the two shops could not be compared without a lot of work.

What we did

One system for both stores. Rosters and hours in it. Sales going in as they happen. Stock counted in the same place instead of a chat thread. Nothing fancy — the point was that it all lives together.

The bit that mattered most

The owner can open it on a phone and see both shops side by side. That one thing removed most of the ringing around, and made it obvious which store needed attention in a given week.

Why custom, not off the shelf

We looked at buying something first. The products that did all of it were built for chains and priced for chains. The cheap ones did one part well and nothing else. For two stores with a specific way of working, building it was the better call.
